You can’t do it all, and honestly? You shouldn’t even try. This photography outsourcing checklist is your lifeline if you’re buried under edits, drowning in emails, or trying to do reels while driving to dance practice. (Been there.)

I’m sharing exactly what I outsource in my photography business, why it changed everything, and how YOU can start doing less to actually grow more.


Why Photographers Need a Photography Outsourcing Checklist

Let me be real: I’m a senior photographer, a business owner, and a mom of seven. I’ve got travel sports, music lessons, snacks on snacks… and a full calendar of high school senior photos. If you feel like you’re constantly behind, it’s not because you’re incapable. It’s because you’re doing too much.

That’s where the photography outsourcing checklist comes in.

When I started outsourcing (around two years ago), everything changed. I finally had consistency, space to breathe, and energy to focus on income-generating work. My editing got better. My sessions got stronger. My sanity came back.


What I Outsource in My Photography Business

Let’s break it down:

1. Virtual Assistant (VA)

My VA handles my blog posts, newsletters, Pinterest pins, social posts, and marketing tasks. We talk via Voxer and use Asana to stay on track. I spend maybe 10 minutes a week communicating with her. That’s it.

2. Bookkeeping

I used to spend days hunting down receipts at tax time. Now? I get a monthly report and it’s done. If you’re not organized, hire a bookkeeper. Game. Changer.

3. Graphic Design + Templates

I send my content to a designer who creates Canva templates, carousels, and freebies that match my brand. She’s fast. She’s amazing. And my stuff looks GOOD.

4. Website + Workflow Experts

I hired Octavia for my site and Coley for my Dubsado workflows. Go to the experts. Your DIY version won’t compare. Period.

5. Personal Assistant

This one? Massive. My PAs run errands, deliver products, prep dinner, declutter rooms, and basically save me from drowning in the chaos of daily life. Outsourcing personal stuff has helped my business more than I expected.

How to Start Using the Photography Outsourcing Checklist

  1. Identify Your Time Sucks: Start tracking what’s stealing your time.
  2. Pick Just ONE Thing: Blog writing, inbox management, or Pinterest? Choose one.
  3. Find the Right Fit: Ask your network or use recommendations from other photographers.
  4. Communicate Clearly: Voxer, Asana, Loom… whatever works. Give direction, then let go.
  5. Shift Your Mindset: It’s not an expense. It’s an investment.

Ask yourself: Would a CEO do this task? If not, outsource it.
